Sign Language Interpreting Professionals (SLIP) is looking to fulfill a full-time job in our small but mighty office by a person who has previous experience in office administration. The ideal candidate is someone who, is well versed in computers, has a good knowledge of billing and customer service practices, is independent, flexible and a critical thinker capable of multitasking. The candidate should be comfortable working in a family-owned for-profit business whose customers include the Pittsburgh area’s leading corporations in the legal, financial, healthcare and education industries.

Job responsibilities will be running day to day office operations, keeping customer and interpreter data updated, managing incoming requests for service, handling interpreter inquiries, maintaining the office calendar(s) and billing system and communicating with company’s Vice President of Operations (Danielle Filip) directly to update on daily status.

Duties include by are not limited to:
• Accepting interpreting requests;
• Engaging with customers to schedule jobs and provide follow-up and to verify that interpreting requests are still needed;
• Addressing day-to-day interpreter job and/or scheduling concerns;
• Maintaining and keeping up-to-date the contracted interpreter files and communicating with contracted interpreters regarding their file accuracy;
• Performing day to day financial transactions, including verifying, posting and recording data from SLIP’s scheduling system into the billing system;
• Responsible for the twice monthly processing of invoices from interpreters and bills to customers in compliance with established procedures and policies;
• Receiving and posting payments to customer accounts and preparing bank deposits accordingly;
• Corresponding with customers regarding past-due invoices, and interpreters regarding billing matters;
• Maintaining vendor and customer data throughout the company systems;
• Coordinating end of year tax filing prep to assist President;
• Other tasks as assigned.

• The position requires proficiencies (e.g., reading, writing, arithmetic) that may be demonstrated with a college degree or at least two years of full-time work experience, along with a proven ability to use:
• Google Calendar, Google Docs, Gmail,
• Quickbooks Pro,
• Microsoft Office Suite (Excel, Word, Outlook);
• High degree of accuracy and attention to detail;
• Ability to work with and protect confidential company information;
• Organizational & Problem-solving skills;
• Ability to work independently;
• Strong English & communication skills (including customer service and negotiation skills);
• Customer Service experience (preferred); Office management/administrative assistant experience (preferred);
• Ability to pass background screening and drug testing.
